Introducing the Customization Skill: build your own asset workflows with the Bulbthings AI Copilot

We’ve recently launched the Customization Skill for the Bulbthings AI Copilot. It lets admins build custom workflows, automations, scheduled reports and insights in minutes, simply by describing what they need in plain language, by text or voice, or by uploading an existing document such as a paper checklist.

Bulbthings is an enterprise-grade, AI-powered, all-in-one asset management platform built for mid-size and growing companies. It automates operations for every physical asset a company relies on, from machines, vehicles and plant to tools, equipment, bulk items, consumables and the premises they operate from. With the Customization Skill, every company can now shape Bulbthings to the way its teams actually work.

At a glance

  • What it is: The Customization Skill, a new capability of the Bulbthings AI Copilot.
  • What it does: Lets workspace admins build custom workflows, automations, scheduled reports and operational and financial insights by describing them in plain language, by text or voice, or by uploading an existing document. Admins can also build entirely new features by defining new entity types, fields, relationships and actions.
  • How it works: We trained the skill on the Bulbthings API and SDK, so the Copilot builds each configuration through the same interfaces a developer would use.
  • Time to build: Minutes per automation or workflow customization, with no coding or complicated no-code builder required.
  • Who can use it: Workspace admins, who choose which users each customization applies to.
  • Where: On every screen of the Bulbthings web and mobile apps, by chat or voice.
  • Scope: Every physical asset a company relies on, with complete lifecycle and financial management for all of them: high-value assets such as machines, vehicles and plant, with maintenance (CMMS), fleet management and total cost of ownership (TCO); tools and equipment, with deep tracking and bookings; bulk items and consumables, with inventory and stock management; and properties and premises, with maintenance, inspections and compliance.
  • Built for: Mid-size companies that need modern software that is quick to onboard and intuitive to use, but that can also handle large numbers of assets and advanced workflows. Bulbthings is an enterprise-grade platform made accessible to mid-size companies.

Why we built it

Mid-size companies face a double challenge. They need modern, sleek software that is quick to onboard and intuitive for every team to use. They also manage large numbers of assets and run advanced workflows, which demands the automation and flexibility of enterprise software. Simple tools are easy to adopt but struggle at that scale; enterprise suites handle the scale but require long implementation projects. We built Bulbthings to be an enterprise-grade platform made accessible to mid-size companies.

Bulbthings ships with a broad set of standard features and workflows, and many customers use them as they are. But every company also has its own way of working: its own safety rules, booking policies, approval steps and cost structures. In most asset management software, adapting to those rules means a developer writing scripts against an API, an administrator wrestling with a complicated “no-code” workflow builder, or a paid services project. Each option adds delay and cost, and hands the change to someone other than the person who understands the process.

The Customization Skill removes that gap. The person who runs a process can now configure it, in minutes.

Every physical asset a business relies on, not only the ones that need maintenance

Most operations depend on more than machines and vehicles. A job also needs the right tools, equipment, protective gear and materials, in the right place at the right time, and the premises where teams keep and use it all need looking after too.

That’s why Bulbthings manages all classes of physical assets in one system, with complete lifecycle and financial management for every one of them, plus the specific capabilities each type needs:

  • High-value assets, such as machines, vehicles, plant and specialist equipment: full lifecycle management, including bookings, maintenance and repairs, fleet management and total cost of ownership.
  • Tools and equipment: deep tracking of where each item is, who has it, when it is available and what condition it is in.
  • Bulk items and consumables, such as PPE, construction materials and supplies: inventory and stock management.
  • Properties and premises, such as sites, buildings, rooms and villas: maintenance, inspections and compliance, as well as their role as the locations where teams store, assign and track other assets.

Across the industries we serve

Here’s what that looks like in practice:

  • Construction and energy. Logistics teams book the equipment, tools, PPE and construction materials each job site needs. They also manage the maintenance and total cost of ownership of their plant and vehicle fleets. Customers include James Fisher and Sons and Monaco Marine.
  • Engineering and manufacturing. Teams manage high-value specialist equipment and tools alongside their maintenance, inspections, calibrations and certifications. Customers include Thyssenkrupp Marine Systems and Applus+.
  • Media and entertainment. Teams book high-value gear alongside the bulk items and consumables each job requires, and track repairs of filming and production equipment. Customers include the BBC.
  • Rental. Rental companies manage the rental process and after-sales repairs in the same system. Customers include Pro Velo.
  • Hospitality. Teams can prepare villa equipment and furniture and organize the work of cleaning and maintenance staff. Customers include Eden Rock St Barths (Oetker Collection).

The same approach applies to any business whose operations depend on physical assets.

How the Customization Skill works

We launched the Bulbthings AI Copilot in January 2026. It’s an AI agent that acts as an admin or a user inside your Bulbthings workspace: instead of clicking through menus, you tell it what you want done, and it does it. The Copilot is available on every screen of the Bulbthings web and mobile apps, by chat or voice. It runs in an optional chat window beside the standard interface, because asset management depends on visualizations you need to keep in view.

We trained the Customization Skill on the Bulbthings API and SDK. It extends the Copilot from performing tasks to configuring the platform itself, in three steps:

  1. Request. An admin describes the outcome they want in plain language, or uploads a document, such as a paper checklist, to digitize and automate.
  2. Build. The Copilot identifies the triggers, conditions, data and actions required and builds the configuration through the platform’s own interfaces, in minutes.
  3. Apply. The admin chooses which users the customization applies to, and it runs like any built-in Bulbthings feature.

The Copilot delivers scheduled reports by email and in-app, and reports and insights can cover both operational and financial data.

Beyond workflows: build entirely new features

The Customization Skill doesn’t only automate existing workflows. Admins can create entirely new features in Bulbthings by defining new entity types, their fields, their relationships to existing records such as people and assets, and the rules, alerts and actions around them. The Copilot also adds the views needed to find and manage the new records, such as a dedicated tab.

Example: technician certification management

A maintenance manager wants to manage technician certifications and asks the Copilot:

“I want to manage my Staff/technicians’ certifications. I want a new entity, Certification, with these attributes: due date; certification level (a drop-down list with Level 1, Level 2 or Level 3); requirement (a drop-down list with Mandatory, Recommended or Optional); and completion date. I want to be able to add a certification to a technician. If a certification is overdue (past its due date and not completed) and is mandatory, send a critical alert to admins and flag the technician as Not certified, with a new field on the technician’s profile. If it is overdue and not mandatory, a warning notification to admins will do. I also want to search and find all my certifications in a dedicated tab. I’m open to any suggestions to manage my certifications.“

Then refines it with a follow-up, attaching a PDF checklist:

“I’d also like to track the status of each certification. Let’s add a Certification status field with the values Scheduled, Completed, Validated and Late. When a certification is completed, trigger a checklist. The certification becomes Validated only if every condition on the checklist has passed. Here’s my checklist.“

What the Copilot builds

From those two requests, the Copilot builds a complete certification management feature:

  • A new entity type, Certification, with due date, level, requirement, completion date and status fields, including the drop-down values the manager specified.
  • A new relationship linking certifications to technicians, and a new Not certified field on each technician’s profile.
  • Rules and alerts: an overdue mandatory certification sends a critical alert to admins and flags the technician as Not certified; an overdue optional or recommended one sends a warning to admins.
  • A validation workflow: the Copilot turns the uploaded PDF into a digital checklist and triggers it whenever a technician completes a certification. The certification moves to Validated only when every check passes.
  • A dedicated Certifications tab to search and find every certification.

The same approach works for any feature a team needs.

Use cases by industry

Bulbthings covers standard workflows out of the box. The examples below show the kind of team-specific rules that usually require custom development, and that admins can now build in minutes by typing, saying or uploading a request.

Construction and energy

  • Mobilization rules. Request: “Before anyone checks out lifting equipment for an offshore job, require the site supervisor to complete our pre-mobilization checklist, and block checkout if its load-test certificate expires before the job ends.” Result: equipment can only leave for a job when it meets the company’s own mobilization and certification rules.
  • Job costing. Request: “When a job closes, charge the equipment days and consumables used to the client’s project code and send the project manager a cost summary.” Result: every job gets an automatic cost breakdown in the company’s own project structure.

Engineering and manufacturing

  • Calibration traceability. Request: “If a measuring instrument fails calibration, list every inspection it was used on since its last passed calibration and alert the quality manager.” Result: quality teams see the impact of a failed calibration immediately, instead of reconstructing it by hand.
  • Restricted tools. Request: “Anyone checking out a restricted tool needs approval from the area manager and must return it by the end of the shift.” Result: a custom approval and return policy runs only for the tools and teams it applies to.

Media and entertainment

  • Booking policies by role. Request: “Freelancers can book camera kits for up to 48 hours; staff can book for up to two weeks. When a production wraps, send the producer a list of everything still out and charge unreturned consumables to the production budget.” Result: each production follows the organization’s own booking and wrap-up rules.

Rental

  • Usage-based servicing. Request: “When a bike reaches 30 rental days since its last service, remove it from the rental pool and schedule a service before its next booking.” Result: servicing follows actual usage, and customers never receive equipment that is overdue for maintenance.
  • Damage policy. Request: “If a customer returns equipment damaged twice in the same season, flag their account and require a deposit on their next rental.” Result: Bulbthings applies the rental company’s own risk policy automatically at every booking.

Hospitality

  • Guest-specific preparation. Request: “Two days before each villa arrival, build the equipment list from the guest’s preferences, such as a baby cot or extra beach equipment, and assign set-up tasks to housekeeping.” Result: housekeeping prepares each villa for the specific guest, with no manual planning.

Every industry

  • Digitizing your own procedures. Request: an admin uploads the company’s own paper checklist, such as a vessel handover or pre-dive checklist, and asks the Copilot to digitize it and run it at every handover. Result: in minutes, the Copilot creates the digital checklist and builds the workflow around it, including assignments, due dates, notifications and completion tracking.
  • New features. Admins can build features that don’t exist yet, such as a complete certification management system with its own entity, fields, alerts, validation checklist and dedicated tab. See the full example in “Beyond workflows: build entirely new features” above.
  • Operational and financial insights. The Copilot answers requests such as “Which job sites ran out of consumables most often this quarter?” “Which machines have the highest failure rate?” “Which tools have the highest utilization rate” “Who are my top 10 consumers of PPE”  or “What is our cost per rental day for each equipment category?” immediately from workspace data, without a dashboard or data export.

How Bulbthings compares

  • Compared with maintenance-focused CMMS software and its AI agents. Several CMMS vendors now offer AI agents that build maintenance workflows from plain language. These platforms focus on assets that need maintenance, such as fixed machines and vehicles. Bulbthings automates operations for every physical asset a company relies on, including tools, equipment, bulk items and consumables, so its AI Copilot can also automate bookings, deep asset tracking, and inventory and stock management.
  • Compared with enterprise asset management suites and enterprise AI platforms. Large enterprise platforms offer extensive customization and AI agents, but usually require implementation partners, dedicated infrastructure and multi-month projects. We built Bulbthings for mid-size companies, with quick onboarding, ready-to-use workflows and customization in minutes.
  • Compared with APIs built for integrations. In many asset management systems, companies mainly use the API to connect the software to other tools, such as ERP or accounting systems, and extending the product itself requires developers. In Bulbthings, the AI Copilot uses the API and SDK to customize existing workflows or build entirely new features, at the request of a non-technical admin.
  • Compared with AI that turns documents into records. Some platforms use AI to extract data from uploaded documents into records such as assets, parts or maintenance schedules. The Bulbthings AI Copilot builds the complete workflow around an uploaded document in a single request, including assignments, schedules, notifications and tracking.
