The following guide provides a comprehensive overview of how to use the Asset Inventory Tracker to manage equipment, track stock movements, and schedule maintenance.
1. Inventory Tab (The Database)
This is the master list of all your assets. You must register an item here before you can track it in other tabs.
- SKU: Enter a unique identifier for the asset (e.g., TOO-DRL-001).
- Serialized? (Yes/No):
- Yes: For high-value items tracked individually (e.g., Laptops, Vehicles).
- No: For bulk items tracked by quantity only (e.g., Cables, Masks).
- Asset Details: Fill in the Category, Name, Brand, Model, etc.
- Select Asset (Helper): Do not edit this column. It automatically creates the name used in dropdown menus elsewhere.
2. Movements Tab (Daily Operations)
Use this tab to record every change in stock (receipts, allocations, returns).
- Select Asset: Pick the item from the dropdown list (Column A).
- Select Movement Type: Choose the action (e.g., Stock Allocation to User).
- Traffic Light System:
- ⚪ WHITE Cells: Required. You must fill these in.
- 🔘 GREY Cells: Blocked. Do not fill these in.
- 🔴 RED Cells: Error. You have entered data where it is not allowed.
- Enter Quantity: Use the "Stock on Hand" or "Quantity Available" column as indicated by the white cells.
- Note: Use a negative number (e.g., -1) when items leave the stock.
3. Maintenance History Tab (Upkeep)
Use this tab to track repairs and scheduled maintenance for your assets.
- Select Asset: Choose the asset from the dropdown.
- Maintenance Type: Describe the task (e.g., "Oil Change", "Calibration").
- Frequency: Indicate how often this should be done (e.g., "Every 6 months").
- Dates: Enter the "Last Date" the maintenance was performed.
4. Lists Tab (Configuration & Settings)
This tab acts as the "Control Center" for your dropdown menus.
✅ What you SHOULD edit:
Update these columns to add new options to your menus:
- Category (Column A): Asset categories.
- People (Column B): Staff members or users.
- Location (Column C): Job sites, offices, or external locations.
- Storage (Column D): Your internal warehouses or storage rooms.
⚠️ What you should NOT edit:
Columns E to I (Movement Type, Direction, Rules, etc.) contain the logic that powers the automation and the "Traffic Light" system in the Movements tab. Only advanced users should modify these settings.
💡 Best Practices
- New Staff? Add them to the Lists tab first, and they will immediately appear in the Movements dropdowns.
- Negative Numbers: Always remember that allocations and issues (stock going out) must be entered as negative numbers in the Movements tab.
- Don't Drag & Drop: In the Movements tab, copy and paste values instead of dragging cells to prevent breaking the automatic color rules.
